Knowledge prompts

No documents for your agent yet? Write them in one chat.

Your agents answer only from the knowledge you give them. Copy a prompt for the agent you are setting up, paste it into ChatGPT or Claude, and answer its questions. You get back documents ready to upload, with every missing detail flagged instead of made up.

You are helping me write knowledge-base documents for our customer support agent, an AI agent that answers customers on our website and WhatsApp. The agent answers only from these documents, so they must be accurate, complete and easy to search.

STEP 1: Interview me
Ask me all the questions below in one message, numbered. Wait for my answers before you write anything. If I paste existing material, use it and only ask about what is still missing.

1. What is your business called, what do you sell, and who are your customers?
2. Which countries do you serve, which languages do customers write in, and which currency do you charge in?
3. How can a customer reach a person on your team (email, phone, WhatsApp), and during which hours and time zone?
4. Paste any existing material you have: website pages, policies, old FAQs, brochures or saved replies.
5. What is your return and refund policy: time limits, condition of items, who pays return shipping, and how long refunds take?
6. How do you ship: carriers, delivery times by region, costs, and how customers track an order?
7. What are the most common problems customers write in about, and how do you fix each one?
8. How do customers create, change or close an account, reset a password, or update payment details?
9. Which issues must always go to a person, and what should the customer be told when that happens?
10. Do you offer warranties or guarantees, and how does a customer make a claim?

STEP 2: Write the documents
Write one document per topic:

- Product and service overview: what you offer, who it is for, key terms customers use
- Returns and refunds: eligibility, time limits, steps, refund timing, exceptions
- Shipping and delivery: regions, carriers, delivery times, costs, tracking, lost parcels
- Account and troubleshooting: sign-up, login, password reset, payment updates, common fixes step by step
- Warranty and escalation: warranty claims, what goes to a person, contact details and hours

Rules for every document:
- Use only facts I gave you. Never guess prices, dates, policies, links or contact details. Where something is missing, write [TO CONFIRM: what is needed] in its place.
- Put each document in its own Markdown code block so I can save it as a separate .md file. Start each one with "# " and its title.
- Keep each document under 40,000 characters. If one would be longer, split it into two documents with clear titles.
- Use ## and ### headings, each covering one thing a customer might ask about, for example "## Refunds for damaged items". Keep paragraphs to two to four sentences. Use numbered lists for steps and tables for prices or hours.
- Make every section understandable on its own. Do not write "as mentioned above"; repeat the product or plan name instead of "it".
- End each document with "## Common questions": 5 to 10 questions in the words customers actually use, each with a short, direct answer.
- Write facts only. Leave out greetings, tone of voice and instructions for the agent; those belong in the agent's instructions, not in its knowledge.

STEP 3: Checklist
After the documents, list every [TO CONFIRM] item grouped by document, so I can fill them in before uploading.

Before you upload,a few things that help.

  • Share what every agent needs

Company details, contact hours and policies apply to all your agents. Upload them without picking an agent and each one can use them.

  • Attach the rest to one agent

Pricing belongs to Sales, refund steps to Support. Attaching a document to one agent keeps answers on topic.

  • One topic per file

Small, focused documents are easier to find at answer time and easier for you to update later.

  • Run it again when things change

New prices or a new returns window? Paste the old document into the chat, say what changed, and upload the new version.

The number of documents you can upload depends on your plan. Compare plans.

Questions aboutwriting knowledge.

Straight answers about accuracy, setup and your data. Anything else, our team is a message away.

  • Will the AI make up facts about my business?

The prompt tells the assistant to ask about your business first and to use only what you give it. Anything you have not provided is marked [TO CONFIRM] and listed at the end, so you can fill it in before uploading. Read each document once before you upload it.

  • Which file format should I upload?

Save each document as a Markdown (.md) file and upload it in Knowledge. You can also paste a document into the manual entry form. PDF, Word, spreadsheets and plain text files are accepted too.

  • Should a document go to one agent or to the whole organisation?

Attach a document to one agent when only that agent should use it, such as pricing for a sales agent. Leave it unattached when every agent in your organisation needs it, such as contact hours or company policies.

  • Do I need a paid ChatGPT or Claude account?

No. The prompts work in the free versions of ChatGPT and Claude, and in other chat assistants. Longer answers may need a second message asking the assistant to continue.

  • Is the agent limited to these documents?

No. You can also add your website pages and question-and-answer pairs. The prompts help when you have nothing written down yet, or when your information is scattered.
